Here’s the truth, trying to multi-task is costing you. What’s really happening is called task switching where you brain attempts to move rapidly between tasks and gives you the illusion that you’re working on multiple things at once. That means that you’re really losing out on time and progress you could have been making!

Downsides of task switching

According to a research study from 2001, task switching can result in a time loss of 40%. Ending a mental process, resetting your mind and then getting engaged takes our time and our energy! Another research study found that multi tasking and switching increased the error rate in physicians over 30%. So not only are we slower to accomplish what we want to get done, but there’s an increased chance we’ll have to do it over again!

Tips to prevent task switching

Lets regain the lost time and prevent redoing work! We’ve got three easy to use tips that can help. Proper planning, limiting interruption and double checking critical aspects of the work.

Planning and preparation

As we discussed in our productivity tip article from the culinary world, proper planning is key to restaurant success. Chef’s use a concept called Mis En Place to help them. Everything must be prepared before turning on the heat of the grill. When we do all the right prep work, following through with momentum becomes much easier. Create a game plan for what needs to happen, make sure you have all the documents, equipment, and materials you need to complete the task without stopping.

Limit interruption and distraction

If the main reason you’re multi tasking is due to people constantly coming to you, and interrupting your process then this tip is for you. Consider a request board, or a digital form where others can request for some of your time without interruption. Also consider a small sign showing you’re in deep work and asking not to distract you. Often distraction and interruption happen unintentionally!

Even when we intentionally try not to swap between tasks and resist interruption, mistakes can still happen. During your planning phase, consider creating a checklist of the key aspects of what you’re working on. Then double check that list before marking things as complete.
